Transport

Rayners has a dedicated fleet of transport vehicles enabling delivery and collection of your equipment anywhere in the country, at a time to suit you.

All of our vehicles comply with the latest Transport for London Ultra-Low Emissions regulations and this coupled with our use of computer-managed logistics, which enables our vehicles to follow the most efficient routes, helps us to further reduce emissions generated.

Additionally, our fleet is fitted with GPS tracking technology throughout allowing us to follow each route in real-time and provide customers up to date arrival information.

Our standard operating hours for transport are Monday-Friday 8am-3pm & Saturday 8am-1pm.

Should your event requirements necessitate times outside of these windows we would be happy to accommodate; please contact the sales team directly when placing your quote/order or note accordingly in the relevant section when compiling online.

You will be quoted the standard transport charges which, unless otherwise specified, relate to ground floor delivery & collection from your venue only.

Should you require equipment at any other level of the venue in question this may incur an additional porterage fee, particularly in the absence of lift access to the relevant floor. Again please do contact the sales team directly or note any relevant information in the appropriate notes section when compiling your quotation / hire online.

 

Alternatively equipment can be collected from and returned to our Stores in South West London during business hours.


Cleaning

All equipment can be returned dirty after your hire period to be cleaned at our state of the art cleaning plant. This cleaning service will incur a surcharge of 20% of the hire rate for all applicable items.

Should you wish to return your equipment clean at the end of your hire please mention this to a member of the sales team when placing your order or state this in the relevant notes section online in order for the surcharge to be removed accordingly.

Please note items such as furniture, linen & dance flooring are all exempt from the cleaning surcharge.


Safety

All gas and electrical equipment is safety tested in-house prior to each hire to ensure items are suitable & safe for use on every occasion.

All electrical equipment is supplied with a valid PAT test certificate while gas appliances have the relevant gas safe certifications.

Alongside this, where relevant, items are provided with clear operating instructions. Additional copies of operating instructions can be viewed & downloaded from the relevant equipment section of our website.


Pricing

All pricing as listed online is representative of a single day hire rate [24 hour hire period] and excluding VAT.

Unless otherwise specified quotations / orders are based on this single day hire rate. For extended periods of hire please contact the sales team directly to obtain the relevant rates.


Amendments to a Quotation / Hire

Amendments to quotations or orders will only be possible via the online client account page up to three days prior to the proposed hire commencement date.

For any amendments required after this period please contact the sales team directly via telephone [020 8870 6000] or email [[email protected]] with your requirements.

For all confirmed orders, please note, per our Terms & Conditions of hire we are unable to accept any reductions in quantity / removal of items after midday on the day preceding the commencement of a hire. All reductions / removals must be made before this time.

For any addition of items to be included on the same delivery, we will endeavour to accommodate these provided they are made by 5pm on the day prior to the commencement of hire.

If additions are not able to be accommodated for any reason or if they are made after 5pm an additional transport charge may be required.


Security Deposit

A fully refundable security deposit will be required to be added to every hire.

The balance of the security deposit will then be returned via electronic transfer when all hired items are returned to our stores in good condition and accounted back into our stock.

Losses / Breakages / Replacements

Where any losses / breakages / damages are sustained during the hire period the appropriate replacement / repair charges will be deducted from the security deposit accordingly.

A fully itemised breakdown of charges will be provided on the final VAT invoice.


Stock Availability

A quotation does not guarantee availability of items nor does it secure items for the period you require them. To secure the items you must convert your quotation into a confirmed order.

If when placing an order or converting your quotation and we do not have availability for any of the goods you have ordered on the dates you require, we will advise accordingly when we provide your confirmation along with suggested alternative items for your consideration.


Payments

Payment of the full balance due on a hire [including the refundable security deposit] is required to have been received in cleared funds by the Company no later than 72 hours prior to the commencement of a hire.

We are unfortunately unable to release any items without the full receipt of funds; except on occasion where account facilities exist.

With regret, the Company is unable to process payments via credit or debit card.


Cancellation Charges

Charges may be levied if the hirer cancels an order or fails to accept delivery of all or some of the equipment for whatever the reason. The maximum charge for cancelling or declining to accept the items will be based on a sliding scale and calculated from when the Company is notified of the cancellation.

Scale of charges relating to advance notice given of the cancellation of an order prior to commencement of hire:

(a) four or more working days notice NO CHARGE
(b) three working days notice 10% of the hire charge
(c) two working days notice 25% of the hire charge
(d) notice given before noon on day prior to commencement of hire 50% of the hire charge
(e) notice given after midday on day prior to commencement of hire 75% of the hire charge
(f) notice given anytime on the day of delivery of the equipment Full cost of the hire plus the delivery charge
